2. Scope of This Privacy Policy
This Privacy Policy applies to Personal Data processed by MYWOWFIT when you:
  • visit or use mywowfit.com;
  • submit an enquiry or request a trial session;
  • complete MYWOWFIT forms;
  • schedule, reschedule or cancel sessions through Acuity Scheduling;
  • participate in live training sessions through Zoom or Google Meet;
  • use Trainerize in connection with MYWOWFIT services;
  • purchase services through Stripe;
  • communicate with MYWOWFIT, our support team or trainers by email or WhatsApp;
  • subscribe to or interact with communications sent through MailerLite; or
  • otherwise interact with MYWOWFIT services.
Some MYWOWFIT services are provided through third-party platforms. Those providers may also process certain Personal Data under their own privacy policies and terms.
This Privacy Policy does not apply to independent third-party websites or services that you access separately and where MYWOWFIT does not determine how or why your Personal Data is processed.
Processing carried out as part of an employer, insurance, corporate wellness or other business partnership may be subject to additional privacy notices or contractual arrangements.


3. Personal Data We Collect
We collect Personal Data that you provide directly to us, information generated through your use of MYWOWFIT services and limited information received from the third-party platforms we use.
3.1 Contact and Profile Information

3.2 Fitness Goals and Personal Requirements
You may provide information about:
  • your fitness goals;

  • physical limitations or other circumstances you would like your trainer to consider.
Some of this information may be provided through free-text fields.
MYWOWFIT does not require you to provide detailed medical records, medical diagnoses or unrelated medical information through general enquiry or scheduling forms.
However, you may voluntarily provide information relating to injuries, pain, physical condition or other health-related circumstances where relevant to your training.
3.3 Training, Progress and Trainer Notes
Through MYWOWFIT services and Trainerize, we may process information relating to:
  • your user profile;
  • assigned workouts and training programmes;
  • completed workouts;
  • training activity;
  • progress over time;
  • training preferences; and
  • notes reasonably necessary to prepare for or adapt your sessions.
Your trainer may create limited notes concerning your goals, progress, preferences, physical limitations you report and adaptations made during your programme.
Trainer notes must be relevant to the provision of MYWOWFIT services and limited to information reasonably necessary for that purpose.
3.4 Scheduling and Appointment Information
Through Acuity Scheduling we may process:
  • name;
  • email address;
  • telephone number;
  • appointment date and time;
  • scheduling and calendar information;
  • appointment history, including rescheduling or cancellation information; and
  • information you choose to provide in a comment field.
Your assigned trainer may receive limited appointment information necessary to prepare for and deliver your session.
3.5 Online Training Sessions
MYWOWFIT provides live online training sessions through Zoom and Google Meet.
We may process limited information required to arrange and conduct those sessions, such as your name, meeting details and participation information.
MYWOWFIT does not record training sessions conducted through Zoom or Google Meet.
If recording is introduced in the future, we will provide appropriate notice and obtain consent where required before recording begins.
3.6 Communications
We process information contained in communications sent to MYWOWFIT, our support team or your trainer through:
  • email;
  • WhatsApp;
  • website forms; and
  • other communication channels used in connection with our services.
These communications may include scheduling information, goals, preferences, progress or physical limitations.
Please avoid sending medical records or other sensitive information that is not reasonably necessary for your training.
3.7 Payment and Transaction Information
Payments are processed through Stripe.
MYWOWFIT may receive:
  • your name;
  • email address;
  • billing address;
  • shipping address, where provided;
  • card brand;
  • last four digits of the payment card;
  • card expiration date; and
  • transaction amount.
Full payment card numbers and card security codes are processed by Stripe and are not stored directly by MYWOWFIT.
3.8 Marketing and Subscription Information
If you subscribe to MYWOWFIT marketing communications, we may process through MailerLite:
  • your name;
  • email address;
  • subscription date;
  • subscription status;
  • information about whether an email was opened;
  • link clicks; and
  • history of marketing communications sent to you.
3.9 Technical and Website Usage Information
When you visit mywowfit.com, we may automatically collect information such as:

  • browser and device information;
  • pages visited;
  • referring source;
  • approximate location derived from IP address;

4. How We Use Personal Data and Our Legal Bases
Where GDPR, UK GDPR or similar laws apply, MYWOWFIT processes Personal Data only where an appropriate legal basis exists.
4.1 Providing MYWOWFIT Services
We use Personal Data to:
  • respond to enquiries and trial requests;
  • manage your relationship with MYWOWFIT;
  • match you with a trainer;
  • arrange and manage sessions;
  • provide live online training;
  • create and adapt your programme;
  • monitor training activity and progress;
  • communicate about your services; and
  • provide customer support.
Legal basis: performance of a contract or taking steps at your request before entering into a contract.
4.2 Health-Related Information
Where you voluntarily provide health-related information and that information constitutes health data or another special category of Personal Data, additional legal requirements apply.
For users in the European Economic Area and the United Kingdom, MYWOWFIT generally relies on your explicit consent to process voluntarily provided health-related information for the purpose of adapting and safely delivering your training services.
You may withdraw that consent at any time.
Withdrawal does not affect processing that took place lawfully before withdrawal.
Where information must be retained for the establishment, exercise or defence of legal claims, MYWOWFIT may retain limited relevant information where permitted by applicable law.
4.3 Payments, Accounting and Tax
We use payment and transaction information to:
  • confirm and administer purchases;
  • manage packages and payments;
  • process refunds;
  • manage chargebacks and payment disputes;
  • maintain accounting records; and
  • comply with tax and legal obligations.

Where applicable law permits marketing to existing customers under a customer or “soft opt-in” exception, we may rely on that exception.
You may unsubscribe at any time.
Unsubscribing from marketing does not prevent us from sending necessary service-related communications concerning bookings, payments, trainers or services you use.

We may process Personal Data where reasonably necessary to:

Accepting MYWOWFIT Terms and Conditions or acknowledging this Privacy Policy does not constitute consent to all processing activities.

5. Health and Fitness Data
MYWOWFIT provides personalized fitness services and may process information relating to your physical condition where you choose to provide it and where it is relevant to your training.
5.1 Information You May Provide
You may voluntarily provide information relating to:
  • injuries;
  • pain or discomfort;
  • physical limitations;
  • health conditions relevant to exercise;
  • mobility restrictions;
  • recovery from an injury or procedure; or
  • other physical circumstances relevant to your training.
MYWOWFIT does not require detailed medical records, test results or unrelated medical information.
5.2 Trainer Notes
Your trainer may create limited notes where reasonably necessary to adapt and safely deliver your training programme.
These may include:
  • limitations reported by you;
  • exercises causing discomfort;
  • programme adaptations;
  • training progress; and
  • matters relevant to future sessions.
Trainer notes should be factual, relevant and limited to what is reasonably necessary.
MYWOWFIT trainers do not provide medical diagnoses through these notes.
5.3 Access to Health-Related Information
MYWOWFIT restricts access to health-related Personal Data on a need-to-know basis.
Your assigned trainer may access information reasonably necessary to prepare for and deliver your sessions.
Members of the MYWOWFIT support team may access health-related information where reasonably necessary to assist with your services, communicate relevant information to your trainer, resolve a service issue or respond to your request.
If you change trainers, relevant information may be made available to your new trainer where necessary to ensure continuity of your programme.
Other employees, contractors or trainers should not access health-related information unless access is reasonably necessary for their role or in connection with a complaint, incident, legal matter or service-quality issue.
Health-related Personal Data is not made available for advertising audience creation or targeted advertising based on health conditions.
5.4 Withdrawal of Health Consent
Where processing is based on explicit consent, you may withdraw that consent at any time by contacting:

If withdrawal means MYWOWFIT can no longer safely provide a particular part of the service, we will explain this to you.


6. Sharing Personal Data and Service Providers
MYWOWFIT shares Personal Data only where reasonably necessary to provide and operate our services, process payments, communicate with users, support our operations, comply with legal obligations or protect our rights.
6.1 Trainers
Your assigned trainer may receive information reasonably necessary to provide your training, including:
  • name;
  • scheduling information;
  • fitness goals;
  • preferences;
  • training programme and progress;
  • relevant comments; and
  • health-related or physical limitation information you choose to provide.
6.2 Acuity Scheduling
We use Acuity Scheduling, provided by Squarespace, to manage appointments.
Acuity may process contact, appointment, scheduling, calendar and comment information.
6.3 Zoom and Google Meet
We use Zoom and Google Meet to provide live online training sessions.
These providers may process limited meeting and participation information.
MYWOWFIT does not record training sessions.
6.4 Trainerize
We use Trainerize to support training programmes, profiles and progress tracking.
Trainerize may process profile information, workouts, training activity, progress and information relevant to your programme.
6.5 Stripe
We use Stripe to process payments.
Stripe processes payment card information and provides MYWOWFIT with limited billing and transaction information.
6.6 Kommo
We use Kommo as a customer relationship management system.
Kommo may process contact information, communication history and information relevant to enquiries, customer relationships and support.
6.7 MailerLite
We use MailerLite to manage email communications and marketing subscriptions.
MailerLite may process contact, subscription and email-engagement information.
6.8 WhatsApp and Email Services
We use WhatsApp and email services to communicate with clients, trainers and prospective clients.
6.9 GoDaddy
We use GoDaddy in connection with website hosting and infrastructure.
GoDaddy may process technical information necessary to provide hosting, security and website functionality.
6.10 Google and Meta Technologies
We use technologies including:
  • Google Analytics;
  • Google Ads;
  • Google Tag Manager; and
  • Meta Pixel.
These may process technical and website interaction information where permitted by your cookie choices and applicable law.
MYWOWFIT does not intentionally place advertising tracking technologies on forms used to collect health-related or physical limitation information.
6.11 Make and n8n
We use Make and n8n Cloud to automate operational processes and transfer information between approved MYWOWFIT systems.
Depending on the workflow, these tools may process contact, scheduling, transaction, communication or customer relationship information.
6.12 Professional Advisers
Where necessary, we may disclose limited Personal Data to:
  • accountants;
  • lawyers;
  • auditors;
  • security providers; and
  • other professional advisers.
6.13 Legal Requirements
We may disclose Personal Data where reasonably necessary to:

8. Data Retention
MYWOWFIT retains Personal Data only for as long as reasonably necessary for the purposes described in this Privacy Policy, including providing services, maintaining continuity of training, meeting legal obligations, resolving disputes and protecting legal rights.

If a former client resumes training, a new active client period begins.
Ordinary marketing communications alone do not restart retention periods for training, appointment or health-related information.
MYWOWFIT may delete or anonymize information earlier where it is no longer needed.
When a client changes trainers or a trainer stops working with MYWOWFIT, the former trainer’s access should be removed without undue delay.
Where a valid deletion request is received, MYWOWFIT will delete relevant information and instruct applicable service providers to do the same unless continued retention is required or permitted by law.
Deletion may be temporarily suspended where information is required for a complaint, chargeback, investigation, security incident or legal claim.
Information removed from active systems may remain temporarily in restricted backup systems until it is deleted through the applicable backup cycle.


9. Cookies and Tracking Technologies
MYWOWFIT uses cookies and similar technologies on mywowfit.com.
Certain cookies are strictly necessary for the website to function securely and correctly. These essential cookies may operate without consent where permitted by applicable law.
We also use optional cookies and similar technologies for analytics, personalization and advertising purposes.

Where necessary to protect Personal Data, we may request additional information reasonably required to verify identity.
10.3 Withdrawal of Consent

No electronic transmission or storage method can be guaranteed to be completely secure.


12. Children’s Privacy
MYWOWFIT services are generally intended for adults aged 18 and over.
Individuals aged 16 or 17 may participate only where permitted by applicable law and where a parent or legal guardian:
  • creates or manages the account;
  • purchases the services;
  • accepts applicable Terms and Conditions;
  • provides required permissions or consents;
  • manages scheduling and administrative communications; and
  • acts as the primary contact for MYWOWFIT.
MYWOWFIT does not offer its services to children under the age of 16.
Where a participant aged 16 or 17 uses MYWOWFIT services, we may process limited Personal Data necessary to provide and adapt the training, including their name, programme, progress, physical limitations and relevant health-related information.
MYWOWFIT does not knowingly use Personal Data relating to users under 18 for targeted advertising or marketing profiling.
If we become aware that Personal Data relating to a child under 16 has been collected in connection with our services, we will take appropriate steps in accordance with applicable law.

13. Changes to This Privacy Policy
MYWOWFIT may update this Privacy Policy from time to time to reflect changes in our services, technologies, business practices, legal requirements or privacy practices.
