We are committed to creating a professional, respectful and safe online training environment for both clients and personal trainers.
This Code of Conduct sets out the standards expected from clients and trainers when participating in MYWOWFIT online personal training services.
This Code should be read together with the MYWOWFIT Terms of Service, Privacy Policy, Waiver of Liability and Medical Disclaimer, and Cancellation, Refund, Referral Policy and Session Expiration Policy.
1. PROFESSIONALISM AND RESPECT
Personal Trainers
MYWOWFIT trainers are expected to maintain a professional and respectful relationship with clients at all times.
Trainers must:
- arrive on time and be prepared for scheduled online personal training sessions;
- communicate professionally and respectfully;
- adapt exercises to the client’s goals, fitness level, preferences and relevant physical limitations;
- provide clear instructions and reasonable exercise modifications where appropriate;
- avoid discriminatory, abusive, threatening, sexual, intimidating or otherwise inappropriate conduct;
- maintain appropriate professional boundaries with clients; and
- comply with MYWOWFIT policies and professional standards.
Clients
Clients are also expected to communicate respectfully with trainers and MYWOWFIT team members.
Harassment, abusive behaviour, threats, discrimination or other serious misconduct may result in suspension or termination of MYWOWFIT services.
2. HEALTH-RELATED INFORMATION AND CLIENT SAFETY
Because MYWOWFIT provides personalized online personal training, trainers may need limited information about physical limitations or other circumstances relevant to adapting a client’s exercise program.
Clients should inform their trainer about injuries, pain, physical limitations or other health-related circumstances that they believe are relevant to participating safely in training.
MYWOWFIT does not require clients to provide detailed medical records, diagnostic reports or unrelated medical information.
Where health-related information is provided, MYWOWFIT may process that information only for appropriate purposes connected with adapting and delivering the client’s online personal training services, as described in the MYWOWFIT Privacy Policy.
Where applicable law requires explicit consent to process health-related information, MYWOWFIT will request that consent separately.
Acceptance of this Code of Conduct or the Terms of Service does not constitute blanket consent to process health-related information.
Clients are responsible for providing information they believe is reasonably relevant to their safe participation in exercise.
3. MEDICAL ADVICE AND TRAINER LIMITATIONS
MYWOWFIT is an online personal training service, not a medical or healthcare provider.
Personal trainers must not diagnose medical conditions, prescribe medical treatment or present themselves as physicians or other healthcare professionals unless separately qualified and expressly acting in that capacity outside the MYWOWFIT training service.
Where a client raises a medical concern that falls outside the trainer’s professional scope, the trainer should recommend that the client consult an appropriate healthcare professional.
If a client experiences significant pain, dizziness, unusual shortness of breath or another concerning symptom during an online personal training session, the exercise should be stopped.
The client should seek appropriate medical assistance where necessary.
4. PRIVACY AND CONFIDENTIALITY
Personal trainers must treat client information as confidential.
Trainers may access and use Personal Data only where reasonably necessary to provide MYWOWFIT online personal training services or perform another authorized MYWOWFIT responsibility.
Trainers must:
- access only client information relevant to their work;
- keep client information confidential;
- use MYWOWFIT-approved systems for client information and training notes;
- avoid keeping unnecessary copies of client information in personal documents, devices or unapproved applications;
- record only factual and relevant training notes;
- avoid making medical diagnoses in client notes;
- not disclose client information to other clients, friends, family members or unauthorized third parties;
- not use client health-related information, messages, photographs or training information for personal marketing or social media without appropriate authorization; and
- stop accessing client information when access is no longer required.
Client Personal Data is handled in accordance with the MYWOWFIT Privacy Policy.
5. ONLINE SESSION PRIVACY AND RECORDINGS
MYWOWFIT does not record 1-to-1 online personal training sessions conducted through Zoom or Google Meet.
Trainers must not independently record MYWOWFIT sessions without prior authorization from MYWOWFIT and any consent required from the client.
Clients must not record, publish, livestream or distribute a MYWOWFIT training session or a recording of a trainer without appropriate prior permission.
Screenshots, photographs or clips from private training sessions must not be used publicly without authorization.
6. CLIENT CONTENT, PHOTOS AND TESTIMONIALS
Information or content shared during the course of online personal training remains subject to the MYWOWFIT Terms of Service and Privacy Policy.
Providing a photograph, video, message, progress update or other training content to MYWOWFIT does not automatically give MYWOWFIT or a trainer permission to publish it.
If MYWOWFIT wishes to use an identifiable client photograph, video, testimonial, before-and-after content or story for marketing or promotional purposes, appropriate permission will be requested separately.
Personal trainers must not independently use MYWOWFIT client content for their own promotion without appropriate authorization.
7. TRAINING PREPARATION
Trainers should prepare appropriately for scheduled sessions.
For new or trial clients, trainers should review the information made available to them by MYWOWFIT before the session and prepare a training approach appropriate to the information provided.
Where MYWOWFIT has an established client follow-up process, trainers are expected to follow that process.
Clients should also prepare for their online personal training session by having:
- sufficient space to exercise safely;
- appropriate clothing and any equipment required for the planned session;
- a functioning device and internet connection; and
- access to the session link before the scheduled start time.
8. SCHEDULING AND TIME ZONES
Because MYWOWFIT is a global online personal training service, clients and trainers may be located in different time zones.
Both parties should check the scheduled session time shown in the MYWOWFIT scheduling system and take reasonable care to avoid time-zone confusion.
Sessions should begin and end at the scheduled times.
Cancellations and rescheduling are governed by the MYWOWFIT Cancellation, Refund, Referral Policy and Session Expiration Policy.
9. TRAINER ABSENCE OR TECHNICAL PROBLEMS
If a trainer is unable to attend a scheduled session, the client will not lose the session.
The session will be rescheduled without additional charge.
If a trainer’s technical problem prevents the online personal training session from being delivered, the affected session will not be counted as used and will be rescheduled.
A trainer absence or trainer-side technical issue does not automatically create an entitlement to additional free sessions beyond the replacement of the affected session.
10. CLIENT TECHNICAL PROBLEMS
Clients are responsible for having a suitable internet connection, device and access to the session link.
If a client has difficulty finding the session link or joining the session, they should promptly check the email, scheduling information and other communications provided by MYWOWFIT.

If the trainer is present and available to conduct the scheduled session but the session cannot proceed because of technical problems on the client’s side, the session will normally be counted as used.
11. MISSED SESSIONS AND RESCHEDULING
Clients may cancel or reschedule sessions in accordance with the applicable MYWOWFIT cancellation policy.
Where the required notice period is not provided, the session may be counted as used.
Frequent missed sessions or repeated scheduling difficulties may be discussed with the client so that a more suitable training schedule can be arranged.
Any consequences relating to cancellations, missed sessions or session expiration are governed by the applicable MYWOWFIT policy rather than this Code alone.
12. SAFE PARTICIPATION IN ONLINE PERSONAL TRAINING
Because training is provided remotely, the trainer is not physically present in the client’s location.
Clients are responsible for choosing a reasonably safe environment in which to exercise.
Clients should immediately tell the trainer if an exercise causes pain or unusual discomfort.
A trainer may modify, pause or stop an exercise or session where the trainer reasonably believes that continuing would be inappropriate or unsafe.
Clients should have access to a telephone and know how to contact emergency services in their own location.
MYWOWFIT trainers provide remote online personal training and cannot guarantee that they will be able to contact or coordinate emergency services in the client’s location.
13. WAIVER OF LIABILITY AND MEDICAL DISCLAIMER
Clients may be required to review and separately accept the MYWOWFIT Waiver of Liability and Medical Disclaimer before participating in online personal training services.
Payment alone does not replace any separate acceptance process that MYWOWFIT requires for the Waiver.
Physical exercise involves inherent risks.
The allocation and limitation of liability between the client and MYWOWFIT is governed by the MYWOWFIT Terms of Service and applicable Waiver.
Nothing in this Code excludes or limits liability or consumer rights that cannot lawfully be excluded or limited.
14. CLIENTS AGED 16 OR 17
MYWOWFIT services are generally intended for adults.
Individuals aged 16 or 17 may participate only where permitted by applicable law and where the required parent or legal guardian manages the relationship with MYWOWFIT in accordance with the Terms of Service.
The parent or guardian must act as the primary administrative contact and provide any acceptance, permission or consent required by MYWOWFIT or applicable law.
MYWOWFIT does not provide its online personal training services to individuals under the age of 16.
15. PROFESSIONAL BOUNDARIES AND COMMUNICATION
MYWOWFIT trainers should communicate with clients only for legitimate training, scheduling, support or other appropriate professional purposes.
Trainers must not misuse client contact details obtained through MYWOWFIT.
Client information must not be used to solicit clients away from MYWOWFIT in violation of the trainer’s applicable contractual obligations.
Trainers and clients are expected to maintain professional boundaries in communications through email, WhatsApp, video platforms and other channels used in connection with MYWOWFIT services.
16. SOCIAL MEDIA AND PUBLIC REPRESENTATION
Trainers must not falsely represent their relationship with MYWOWFIT or make misleading statements about MYWOWFIT services.
Trainers should use approved MYWOWFIT branding and marketing materials where required.
Nothing in this Code prevents a trainer from expressing lawful personal opinions.
However, trainers must not disclose confidential MYWOWFIT information or confidential client information, impersonate MYWOWFIT, or make knowingly false or misleading statements while representing themselves as associated with MYWOWFIT.
17. HARASSMENT, DISCRIMINATION AND INAPPROPRIATE CONDUCT
MYWOWFIT does not tolerate harassment, discrimination, sexual misconduct, threats, intimidation or abusive behaviour between trainers, clients or MYWOWFIT team members.
This applies during online training sessions and in related communications.
A trainer may end a session where a client’s conduct creates a reasonable safety or harassment concern.
MYWOWFIT may investigate reported misconduct and take appropriate action, including warnings, reassignment, suspension or termination of access to the Services.
18. REPORTING CONCERNS OR VIOLATIONS
Clients or trainers who experience or become aware of harassment, misconduct, privacy concerns or another serious breach of this Code should contact:

Reports will be reviewed by the appropriate MYWOWFIT team.
Where a report concerns Personal Data or privacy, it will be handled in accordance with the MYWOWFIT Privacy Policy and applicable law.
19. CHANGES TO THIS CODE
MYWOWFIT may update this Code of Conduct from time to time to reflect changes in its online personal training services, operational practices, safety standards or applicable law.
The updated version will show a revised “Last Updated” date.
Where a change materially affects clients or requires additional notice or agreement under applicable law, MYWOWFIT will provide such notice or obtain such agreement as required.
Trainer-specific contractual changes remain subject to the trainer’s applicable agreement with MYWOWFIT.
20. ACKNOWLEDGMENT AND COMPLIANCE
Clients and trainers participating in MYWOWFIT online personal training services are expected to comply with this Code of Conduct.
For clients, this Code operates together with the MYWOWFIT Terms of Service and other applicable service policies.
For trainers, this Code operates together with the trainer’s agreement and applicable MYWOWFIT policies.
A serious or repeated violation may result in warnings, trainer reassignment, suspension or termination of the relevant relationship, subject to applicable contractual and legal requirements.
